Email Tagging Construction Imaging is an intuitive electronic filing and workflow system which houses Project Files, Invoices, HR documents, and many other departmental repositories. The Outlook Plug-in is an extension of the Construction Imaging platform, using Oulook as the interface. The end user is able to tag and index emails, attachments, and the entire thread from within the Outlook Interface without ever launching another application. Emails will be automatically archived into the correct backend repository based on these index fields and tags. Additional system information, such as date, time, to, from, subject, cc, and username information is also collected from the message when it is uploaded into the backend repository.
Tracking Once a user has tagged an email message with job#, employee #, document type, or other appropriate field, the entire thread will now be tracked. Other employees receiving the email within your organization will receive the email with the tags already applied. When someone outside the company network replies to an email which has already been tagged, the inbound message will retain the previous indexing from the thread. The Outlook Plug-in tracks the entire thread such that tagging an email, attachment, or thread only happens one time. The following messages sent and received will automatically maintain the tags. If users determine a particular message should not be archived, they simply deselect the archive option for a particular message. Subsequent messages can still be archived by re-selecting the archive option. Message Archiving As an email message and the subsequent thread is tagged in the Outlook interface, the Outlook Plug-in stores index information locally. Periodically, an upload process runs silently in the background, calling the Construction Imaging web services application. Files are then uploaded in the background silently. If a user is offline, then the upload service will fail quietly and then upload the messages when the user is back online. Administration & Deployment The Outlook Plug-in is easily deployed by IT with click once technology. There is no need to manage applications for each desktop. Setup options provide administrators with a list of available Construction Imaging archive repositories and index fields. By selecting one or more index fields from the Construction Imaging admin console, then choosing which end users to deploy the integration, the Outlook Plug-in package is created. The next time those end-users login to Outlook and connect the exchange server a message box appears and the Plug-in installs on the desktop. Changes, edits, and new applications for archiving are configured and deployed from the admin console, updating the plug-in on the desktop the next time a user connects to
