Case Study: HR Automation

Port City Construction decided to implement the document management system in the Human Resources Department at the same time as the AP implementation. They felt thact this was a good idea because there were only two people in HR and the HR documents would just be scanned and saved, which meant the training and implementation would be quick and painless (and it was). The group decided to that they would phase the implementation.

The first phase was to scan and save all ex-employee records, most of them were already in the warehouse and seldom ever looked upon, but by law the records must be retained. The ex-employee records are now easily searched, retrieved, and backed up electronically.

The second phase included, scanning and archiving the current employee records recapturing filing cabinet space in the corporate office, as well as providing electronic access and search. Immediately after implementation, HR staff could see the benefits of the document management system. In addition to search, retrieval, and backup, the HR was able to better service employee documentation requests as they are were able to email documents and documents links, as opposed to copying for paper distribution.

The third phase initiative is to capture and manage HR forms electronically, such that they are automated for end users and administrative processing. Port City's HR department is in the process of implementing electronic forms for, employee application, expense reports, vacation request, I-9, tax and state withholding forms, employee warning notice and accident reports. The proposed electronic forms solutions will eliminate any scanning and indexing of the documents. When the employee submits the form, the HR staff is notified of the document, it is reviewed and when approved, automatically archived in the HR document management system.
